ONE CONNECTED WORKFLOW
Your departments work together. Your records should too.
Not another isolated spreadsheet. A project record that connects what was agreed, what was delivered and what is still outstanding.
01
Start with the contract
Set up the project and work order. Connect the agreed scope, bill of quantities (BOQ), contract rates, commercial terms and cost budget. Give each department a common reference for the work ahead.
The baseline: what was agreed, how it is measured and what it should cost.
02
Connect design to delivery
Follow drawing revisions and material submissions through review. Link material requirements to procurement, purchase orders, store receipts and production records, so an outstanding delivery is visible before it becomes a site problem.
The handover: design → procurement → stores → production.
03
Make the evidence count
Record deliveries, installation quantities and inspection references against the project. Distinguish material received from work installed, and surface missing records, quality issues and approvals still pending.
The evidence: what was delivered, what was executed and what still needs review.
04
Close the commercial loop
Prepare an interim payment application (IPA) from reviewed quantities and BOQ rates. Track the client’s certificate, the invoice raised and the payment received as separate stages, with variations and outstanding actions visible.
Explore an illustrative package for your trade. The pilot maps your actual documents, approval stages and measurement rules—not a one-size-fits-all process.
01 / Aluminium & glazing
From a facade detail to a measured claim.
Connect the drawing revision, glass and profile requirements, fabrication progress and installed quantities. Your QS can follow the same package through to its payment application.
01Define the package
Record the facade scope, BOQ units and rates, drawing revisions and material submissions.
02Follow fabrication
Link procurement and material receipts to the package. Track the production and delivery status separately.
03Record installed work
Capture measured site quantities and the status of material and work inspections. A delivered panel is not automatically an installed panel.
04Prepare the application
Use reviewed quantities and contract rates to prepare an IPA draft. Make any pending inspection approvals visible for QS review.

02 / Steel & metalwork
Keep the drawing, the workshop and the site connected.
Follow a steel package from shop drawings and material requirements through fabrication, delivery and erection. Keep commercial measurement tied to the unit agreed in the contract.
01Define the package
Record the steel scope, drawing revision, material specifications and the contract measurement basis.
02Follow fabrication
Track material orders, receipts and workshop stages against the work order. Keep procurement commitments visible.
03Record installed work
Record erection progress, supporting inspection references and outstanding quality items by package.
04Prepare the application
Reconcile reviewed progress to the BOQ unit and rate. Keep variations and pending approvals distinct from agreed work.

03 / Signage
Give every sign a clear route from approval to payment.
Bring artwork and detail approvals, fabrication records, location-specific installation and commercial follow-up into one workflow. Agree sign types and measurement rules during the pilot.
01Define the package
Identify the sign type and location, approved artwork or detail revision, specification and agreed BOQ item.
02Follow fabrication
Follow material procurement and fabrication progress without confusing workshop completion with site completion.
03Record installed work
Record installed quantities by location and retain inspection or handover references. Keep outstanding approvals visible.
04Prepare the application
Price reviewed quantities against the agreed rates. Identify additional signs or revised scope for variation review.

04 / Interior fit-out
Turn room-by-room progress into a clearer commercial picture.
Connect finishes and joinery packages to their drawings, material submissions, procurement and site records. Review what is complete, what needs attention and what can support a claim.
01Define the package
Agree the room or zone, scope, drawing revision and BOQ measurement basis for each finish or joinery package.
02Follow procurement
Follow material approvals, orders, receipts and any off-site fabrication against the project budget.
03Record installed work
Record measured progress and inspections by room or zone. Keep defects and incomplete work visible rather than assuming handover.
04Prepare the application
Reconcile measured quantities to the BOQ, separate variations and prepare a payment application for QS review.

Schematic-to-3D animations illustrate each trade, not actual customer projects, technical installation methods or automated drawing measurements. Each payment application remains subject to your team’s checks and the contract terms.
COMMERCIAL CLARITY
A claim is not a certificate. An invoice is not cash.
See the stages separately. Trace figures back to their records, identify missing evidence and keep your QS and accounts team working from the same picture.
Less rebuilding the paperwork. More time checking the claim.
An IPA is your application for payment—not a promise of certification or cash. The aim is to give your QS a traceable draft, with the measurements, rates and supporting records ready to review.
01
Start with reviewed quantities
Drawings help establish scope and proposed quantities. Your team checks the measurement and records the work actually executed. A drawing takeoff alone is not proof of installed progress.
02
Match the BOQ and the period
Connect each measured item to the correct unit and contract rate. Reconcile previous and cumulative quantities so the current application does not claim the same work twice.
03
Keep the commercial checks visible
Review variations, retention, advance recovery and other applicable contract deductions. Material inspection requests (MIRs) and work inspection requests (WIRs) support the claim; pending approvals remain visible as a risk, not silently marked approved.
04
Review the draft, then follow through
The assistant helps prepare the document; your QS reviews and submits it. Record the client’s certification separately, then follow invoicing and collection with Accounts.
START SMALL. PROVE THE WORKFLOW.
Your business is not a template.
We agree the scope before rollout: your document formats, approval responsibilities, financial definitions and reporting needs.
DISCOVER
Map the way you work
Review a sample contract, BOQ, cost report and payment application. Agree what the pilot must demonstrate.
CONFIGURE
Make it your workspace
Define company branding, dashboard priorities, access roles and document templates. Customisation is scoped and quoted separately.
VALIDATE
Reconcile before rollout
Test one project with your team. Check the figures, review permissions and sign off the workflow before adding live operations.
Before we get started
Can we keep our Microsoft or Google accounts?
Login can be configured for your approved company accounts. Provider setup and your access list are confirmed during onboarding; signing in alone does not grant access to project data.
Will AI submit payment applications for us?
No. The assistant can help prepare a draft from reviewed quantities and BOQ rates. Your QS checks the evidence, deductions and commercial terms. Pending inspection approvals remain visible, and submission stays with your team.
Can we receive weekly email and WhatsApp alerts?
Weekly reporting and budget-alert integrations are being prepared for the pilot. Activation depends on agreed recipients, reporting rules, sender verification and WhatsApp template approval. They are not enabled by default.
What is included in the commercial proposal?
A defined software subscription, separately scoped onboarding and customisation, and an agreed training and support arrangement. Pricing follows discovery; no unconfirmed integration or feature is assumed included.
How is company information kept separate?
Initial customer deployments are designed with separate application settings, databases and private document storage. The pilot includes access checks and a recovery plan. Hosting location and customer data requirements are agreed before live use.
